Network Administration Assistant

We are looking for a Network Administration Assistant to join our fast paced Energy Business team. This is a 100% on-site role located in CABA/Buenos Aires, Argentina. 

 

What will you be doing
As a Network Administration Assistant, you will Assist effectively in all the office requirements related to the administrative matters of the reception area and give direct support to other areas of Network.


As a Network Administration Assistant, you will focus on these responsibilities:
• Attention and service to the internal-external client and suppliers. Reception and registration of visits.
• Support to internal / external customer requirements: calls, messages, request for transport, special requests on trips, shipment of parts / freights.
• Receipt, dispatch, analysis and management of documents in the administrative area (invoices, support of reimbursement invoices, payment supports, receipts for utilities, direct correspondence, correspondence from public entities, AMEX card statements, filing) .
• Coordinate and supervise the activities of the courier service aligned with Purchasing (registration / receipt and dispatch of internal / external correspondence, including DHL-UPS).
• Prepare and coordinate building maintenance plans and facilities status. Act as local contact in related topics and activities.
• Follow up on complementary services (messaging, courier, transport, catering and cleaning) ensuring proper handling and cleaning of work places, meeting rooms, kitchen, recreation and / or common areas.
• Follow up and support for monitoring the cell phone service aligned with Purchasing (equipment requests, roaming services, claims management, support and solutions).
• IT Local Support / Act as Local Coordinator in related topics and activitiesaligned with Purchasing.
• Follow up and support regarding service provider aligned with IM Coordinator(equipment requests, maintenance services, claims management, support and solutions).
• Local Coordinator for meetings, trainings and visits to the Network(transportation, reservations/ hotels, hospitality, meals and general logistics of the attendees).
• Responsible for the administration and coordination of meeting rooms.
• Coordination of administrative purchases for the office.
• Support with the execution of safety, health and environment issues, such as: support in the delivery and / or handling of safety material to visitors, planned inspections, inspections of fire extinguishers and first aid kits, keeping the emergency telephone directory updated, including control of the records.
• The daily update of the ZERO Injury Counter and the execution of the Quarterly Reports of Sustainability of the Network in the CSM corporate application.
• Support in the management of the Company's vehicles (mobilization permits, monthly records / inspections, maintenance schedules, insurance policy) and related topics or activities.
• Report immediately any event that affects Safety, Health and Environmental Management.
• Support the General Manager / Legal Representative in activities such as: organization of agenda and meetings, printing and scanning of documents, processing of documents and / or trips, preparation of letters, minutes, reports, presentations or other digital documents and related matters.
• Support the Human Resources area in the execution of: support in the process of new personnel, coordinating the linkage of new collaborators in Health Insurance, coordinating the sending of welcome presents to new personnel, support of Health Insurance, keep updated the telephone directory of employees, bulletin board maintenance with support from the HR Coordinator and the different areas, supporting training and internal activities, recreational and / or social.
• Support the Finance area in the execution of reports or records: follow-up of customer and supplier invoices, follow-up to deposits, transfers / cash payments /cards, tracking of AMEX card payments, review of supplier payments, records of received invoices, delivery, dispatch and / or distribution of invoices / documentation filing.
• Generation of PRs "Purchase Requisition" and POs "Purchase orders" in SAP(generation of POs might depend on local needs and practices for HR, ADMIN, QEHS and other areas). Follow-up on PRs release and generation of POs in the Purchasing process.
