Management Assistant

For our Drunen office, we are looking for an energetic, proactive and outgoing, professional team player with a strong sense of responsibility, and very much self-disciplined in recognizing and managing confidential information.

 

You will be responsible for supporting the Vice President, Marine Business Area Europe & Africa and the Managing Director Wärtsilä Netherlands, providing daily executive support, administration, and ad-hoc projects and tasks. You will find yourself in the heart of the exiting world of the Maritime and Power industry. Being part of a multinational company with a multiple matrix structure and rapidly changing working environment it is important to be able to operate as an independent and senior management assistant.

 

We are looking for an energetic person who enjoys our international technical setting and will be able to meet the demands of a highly networked stakeholder environment. Your main office location will be Drunen.

What are your main tasks and responsibilities?

  • Assist the Vice President on activities like e.g. agenda management, travel arrangements, preparation of (confidential) documents and organization of local activities.
  • You also assist the Managing Director in various tasks, like agenda maintenance, administrative tasks and you execute any necessary administrative work and comply with the local requirements.
  • Plan meetings, take minutes and assist follow-up actions.
  • You are the first point of contact to external visitors and international contacts.
  • Coordinate and manage activities for a variety of meetings, conferences, trainings, lunches, employee meetings, committees, events and special projects.
  • You are the eyes and ears of top management.

 

What do we expect from you?

  • Bachelor degree, preferably in Sales and/or Communications or Special Secretarial/administrative Studies (after Secondary School).
  • Several years of practical experience in a (top) Management Assistant role or organizing role(s), preferably in a Services related B2B multinational environment.
  • Available for 40 or 32 hours per week.
  • Proven stress resistant in a multi-cultural, high demanding global business environment.
  • Excellent communication skills in Dutch and English both oral and written.
  • Excellent knowledge of standard software packages, especially MS Word, Excel, PowerPoint and Outlook.
  • You have strong communication and administrative skills. Cultural and situational sensitivity and are capable of handling more tasks at the same time.
  • Perfect time management and ability to keep the overview. Business and customer focused.
  • Ability to meet strict deadlines and work under pressure while maintaining humour and high energy.
