Immigration & Mobility Specialist

ABOUT THE POSITION

 

Working with a diverse team of internal and external partners, you will manage the Immigration and Mobility programs and support HRBPs, leaders and colleagues with related processes and procedures.  In this role, you will serve as a business partner with all internal stakeholders (International Mobility, Comp & Ben, Payroll, Home and Host country HR, Talent Acquisition and others) as well as third-party suppliers (Immigration and Tax) to ensure operational excellence with the highest level of compliance. You will also provide oversight of the employment authorization procedures to ensure compliance with the Form I-9 and E-verify processes. The role reports to the Director of HR.

 

WORK SCOPE

 

     Visa / Work Permit / Permanent Residence Case Management

  • Serve as initial client point of contact for assigned case matters by communicating with Foreign national, managers HRBPs, external counsel, and other leaders regarding required documentation, and case status

  • Lead communication and coordinate with attorneys on the full case lifecycle, including initial review and analysis of immigrant and non-immigrant visa petitions.

  • Perform case intake, including matter openings, initial fact -gathering, and document review once assigned, provide status updates

  • Manage international immigration applications and facilitate information and document collections internally and externally between the Company and service providers

  • Work closely with service providers such as tax consultants, external immigration counsel, and relocation vendors to ensure timely, high-quality services are provided.

  • Coordinate recruitment process f or U.S. permanent resident applications, in conjunction with sponsoring manager and external immigration counsel.

  • Coordinate posting of LCA notices as required.

  • Conduct and communicate visa sponsorship assessments in partnership with Talent Acquisition, HR, and/or Hiring Managers. Review cases f or compliance with National Immigration legislation and regulations and local legislation.

  • Monitor progress f or all U.S. immigration cases in conjunction with external immigration counsel, identify long-term sponsorship issues, and communicate risk to talent acquisition/hiring manager.

  • Assist external immigration counsel with audit/RFE requests from U.S. DOL and USCIS.

 

     International Assignments

  • Manage relationship of home and host country support to facilitate seamless transitions for assignments requiring immigration support.

  • Administer international assignments and transfers throughout their lifecycle including: reviewing cost projections, articulating and organizing immigration and relocation procedures, administering an assignment and/or relocation agreement, and coordinating all efforts with internal and external partners to ensure a highly efficient and smooth experience for participants.

  • Immigration and Mobility Support Specialist

  • Answer process questions for immigration sponsorship and relocation services from internal stakeholders.

 

     Other duties

  • Respond to a high volume of global emails to communicate policy, procedures, and resolve immigration, relocation, assignment, or tax-related questions from stakeholders.

  • Track and maintain immigration and relocation files in accordance with audit standards.

  • Handle daily administration of mobility-related tasks (review of vendor invoices, record keeping, tracking and updating databases, etc.).

  • Partner with stakeholders to resolve exception requests and escalations.

  • Assist in immigration and mobility policy and process analysis projects and lead to identifying process, policy, and service gaps

  • Assist employees, managers, and HR enhance their understanding of immigration regulations and ensure compliance.

  • Continually update immigration resources (FAQs, intranet content, communications)

  • Identify opportunities for continuous process improvements; devise creative methods for handling work intake tracking and reporting.

  • Perform other duties and HR compliance projects as assigned

  • Monitor legal developments to stay current with federal employment authorization and immigration laws

  • Serve as SME for employment authorization processes and partner with regional People Support Hub to drive Form I-9 and E-verify Compliance, including the reverification process.

 

QUALIFICATIONS

 

  • 3 - 5 years in U.S., Canada and global immigration, working in a global corporate environment in the field of human resources

  • Bachelor’s degree, associate degree or Paralegal

  • 3 – 5 years in California labor laws

  • Experience working in a role that requires a high degree of confidentiality. Ethical and professional judgment as well as the ability to work with confidential documents and information.

  • Fast Response Time & contact communication with internal customers

  • High level of organizational skills and attention to detail.

  • Excellent written and oral communication.

  • Demonstrated ability to multitask and work with a fast-paced, high-volume case load while meeting deadlines and maintaining a high level of productivity.

  • Demonstrated strong teamwork and collaborative skills working in a dynamic and changing multinational organization.

  • Patience working through the resolution of issues/escalations from program participants and stakeholders.

  • Strong analytical and problem-solving skills.

  • Proficiency in the Microsoft Office Suite (Excel, Word, and PowerPoint)
