We are now looking for a Billing & General Ledger Assistant to join our team. The preferred location for the position is in Portsmouth, UK.


What will you be doing

In this position, your work will include provide support to the Accounts Receivable Manager in the timely execution of billing requirements within the Fleet Operation Solution area and to the General Ledger Accountant in the execution of journals and monthly production of control account reconciliations.


As Billing & General Ledger Assistant, your work will focus on these responsibilities:

  • Posting of monthly FOS invoices to the ERP and recording of such in FOS Billing Database.
  • Maintenance of FOS Billing Database, including adding new vessel orders and recording key components of order.
  • Raising of any manual invoices relating to FOS directly in the ERP.
  • Record key information regarding cancelled FOS vessels and take required invoice/credit actions.
  • Cover all aspects of FOS in absence of Manager, including queries and order approval.
  • Record all invoices relating to FOS_Gold product in separate Gold Database.
  • Review and post FOS Sales Orders in a timely manner to ensure costs recorded accurately.
  • Responsible for timely uploading of invoices to customer portals.
  • FVO Billing and query management.
  • Responsible for opening new customer accounts in ERP
  • Daily processing of invoicing batch job to invoice shipped orders in WVL, WVP & WVA.
  • Responsible for raising all Credit Memos in WVL.
  • Initiate customer statement and reminder tasks.
  • Investigate undelivered invoice e-mails and make corrections in customer accounts to e-mail addresses.
  • Issue quarterly invoices for Cloud SIM product.
  • Cover for credit controllers during holiday periods.
  • Production of monthly control account reconciliations.
  • Preparation of monthly accounting journals as required by G/L Accountant.
  • Prepare WVL Prepayments, loan interest calculation and royalty accruals.
  • Process month end journals as provided by Financial Analysts
  • Process any further adjustments to month end journals as required.


You will shine in this role, when you have:

  • AAT (desirable)
  • Qualified by experience (minimum 5 years in AR and/or General Ledger)
  • Sound Knowledge of accounting rules and principles 
  • Excellent communication skills with all levels of management, able to build and maintain professional relationships with a wide range of individuals internally and externally
  • Attention to detail with a high accurate work rate
  • Able to work proficiently with minimal supervision and to work positively within the team supporting other team members
  • Able to manage tight deadlines and pressure situations
  • A positive and proactive can-do work ethic
  • Professional Skills:
  • Sound Knowledge of accounting rules and principles 
  • Advanced PC user - Intermediate knowledge of Microsoft Office (primarily Excel)
  • Experience with Microsoft Navision will be an advantage
  • Experience of SAAS or Subscription Billing would be an advantage
