Executive Network Administrator Assistant, WNA

 

This position requires advanced interpersonal skills, a positive can-do attitude, initiative, good judgment, analytical skills, and the ability to maintain confidentiality. Set priorities, effectively manage ambiguity, and handle multiple tasks simultaneously for multiple executives.

 

The ideal candidate should have a strong customer service approach, be self-directed, have advanced written, and verbal communication skills, and the ability to handle situations with a sense of urgency in a time sensitive environment. Have a proven track record of proactively managing multiple calendars at the executive level, be able to shift directions/be flexible in changing situations and be able to prioritize incoming work. Reports To Sales Director, Marine Business Americas / Managing Director of Wartsila North America

 

Responsibilities and Duties: (that are not limited to)

  • Executive-level interfaces within the local organization and across the company
  • Proactively manage multiple calendars, making decisions on behalf to prioritize calendar requests based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time
  • Assume control of all expense reporting for the executive team
  • Coordination of internal and external meetings working with various people within the organization, and External Partners
  • Manage domestic and international travel plans, and agendas as needed
  • Provide Administrative support for multiple team members. Some examples are, but not limited to: space planning, maintain team aliases, assist with onboarding new employees, coordinate office moves, order supplies, maintain equipment, coordinate, and execute team morale events Hiring & Headcount management & requests
  • Support the Director of Human Resources in the execution of support in the process of new personnel, assisting with various HR initiatives including but not limited to My Voice Committee activities(Wellbeing, Recognition, Diversity & Inclusion & Social Responsibility), Employee Roundtable scheduling, (Coffee Talks), act as an ambassador on local HR activities, supporting Local, and Area management team
  • Support the Americas Legal team, including but not limited to the production, and review of customer contracts, meeting deadlines, organizing meetings for external guests
  • Administrative support to the Energy Business-Americas management team.  This to include, but not limited to, meeting organization, Calendar management, expense reporting, Power-point design, and production, and all other duties as assigned
  • Support the Communications Manager on local communications and management of the Compass WNA page, LinkedIn postings, Yammer and other social media.
  • Administrative support for the Business Control area to include much the same as above
  • Direct Contact with some of the External Providers that are critical for local WNA and MyVoice Activities (such as C.A.Short – for Recognition; Tree of Angels with Jack & Jill Children’s Center; Harry & Davis for Holiday Gifts; Mercedes Benz for Corporate Run: among others).
  • Act as the liaison between the locally supported management team and all functional and operational areas reporting into the management team located in Fort Lauderdale, FL.
  • Monitor & control the correct use of AMEX / Citi cards for WNA
  • When requested, research, collect and analyze data for various members of the management team
  • Assist all executive team members with immigration issues related to travel, and training
  • All other duties as assigned

  • Bring added value to the position by acting independently and managing your own work to maximize effectiveness for those that you support. 
  • Provide accurate, timely and effective service. 
  • Create a positive, can-do spirit for both internal and external customers.

 

Qualifications and Previous Experience:

  • 8 to 10 years previous experience supporting “C” suite executives within a large multi-national organization supporting multiple executives.
  • Bachelor’s degree or equivalent experience
  • Ability to build relationships across all levels
  • Multi-lingual, Spanish/English and or Portuguese a plus
  • Must have excellent Project Management skills
  • Must be highly organized and demonstrate the ability to work independently
  • Exceptional communication skills, verbal and written
  • Expert level with Microsoft Office products (MS Teams is a must)
  • Previous experience with SAP a plus
