About the Role:
We are seeking a highly organized and professional individual to join Wärtsilä as our Office Coordinator. This pivotal role involves managing the front desk, greeting visitors, and providing administrative support to ensure the smooth operation of our office. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. As the first point of contact for our company, the Receptionist plays a crucial role in creating a positive impression and delivering exceptional service to our stakeholders and clients.

This role does require the candidate to be on-site each day.  Candidates must be located nearby our Ft. Lauderdale, FL office.


Job Responsibilities:

  • Greeting and welcoming visitors in a professional and courteous manner.
  • Answer employee & visitor questions, calls, and emails, and provide them with the relevant information and direct them appropriately.
  • Notify relevant employees when visitors arrive.
  • Continually monitor site security and telecommunications system operations & functions.
  • Maintain visitor, employee, and department directories and logs.
  • Follow security procedures, such as monitoring the logbook and issuing visitor badges.
  • Organize the reception area while complying with office procedures, rules, and regulations.
  • Arrange conference rooms, schedules, catering for local staff meetings.
  • Keep a record of office supply inventory and expenses.
  • Handling inquiries and providing accurate information about the company and its services.
  • Sign for deliveries and ensure all mail and packages are distributed accordingly.
  • Supporting event planning and execution for company functions.
  • Account manager for regional cellphone management and distribution,
  • These responsibilities are essential to maintaining the professional image and efficient operation of our company.

 

Work Hours:
This is a full time on-site position, typical working hours are Monday -Friday 8am to 5pm
 
Qualifications and Skills:

  • High school diploma or general education degree (GED).
  • 2 years’ experience in a similar role.
  • Strong communication and organizational skills.
  • High level of professionalism and courtesy.
  • Excellent time-management skills.
  • Works well with others and can multitask.
  • Proficient in Microsoft Office software.
  • Great attention to detail.
  • Must be located within commutable distance of our facility.
