Technical Workforce Coordinator

Wärtsilä North America is looking for a Technical Workforce Coordinator to join our dynamic and growing operations team supporting our technical workforce development: onboarding, technical talent programs, and employee engagement initiatives across the Energy Business.

What will you be doing

As a Technical Workforce Coordinator, you will provide coordination and administrative support for activities that help prepare, onboard, and engage our frontline technical workforce across the Energy Business. The role supports Field Service, Agreement Management, and other operational teams by helping organize induction weeks, technical orientation activities, field workforce events, career fair logistics, trainee and early career activities, and related operational workforce initiatives.

You will help ensure these activities are planned, scheduled, and delivered smoothly by coordinating logistics, facilities, materials, communications, vendors, travel needs, participant information, and follow-up actions. You will work closely with operations leaders, technical subject matter experts, field employees, vendors, HR, and Talent Acquisition to keep activities organized and on track, while supporting a practical and consistent experience for employees joining or engaging with the technical frontline workforce.

 

As a Technical Workforce Coordinator, you will focus on these responsibilities:

Workforce Orientation and Induction

  • Coordinate and assist in the Technical Workforce Induction Weeks for new employees to include coordinating presenters, instructors, logistical details, and vendors.
  • Maintain and continuously improve training materials, documentation, and onboarding resources.
  • Support adjustments to training sessions based on participant needs and feedback.
  • Serve as the primary point of contact for all subject matter experts and stakeholders.
  • Coordinate operational and logistical aspects of Induction Weeks.
  • Coordinate schedules, facilities, materials, participant communications, and program readiness.
  • Ensure all deliverables are completed on schedule and to a high standard.
  • Collect participant feedback following orientation and induction weeks.
  • Conduct debrief sessions with stakeholders following each cohort session.
  • Identify opportunities to improve the participant experience and overall effectiveness.
  • Assist, track, and communicate metrics and lessons learned.

 

Budget Management

  • Support budget tracking and program-related expenditures.
  • Ensure timely expense report submission from participants and serve as a point of contact to educate and resolve expense reporting issues with employees.
  • Submit timely payment of vendor invoices.
  • Establish new vendors in the Indirect Procurement system.

 

 

Career Fair Coordination

  • Support the Region North Operations team career fairs, recruiting events, and workforce development activities, by coordinating event registrations, logistics, materials, communications, and scheduling.
  • Support initiatives that increase awareness of our frontline career opportunities.

 

Workforce Development Coordination

  • Support with planning and execution of technical workforce development programs for Field Service and Agreement Management.
  • Coordinate Early Career program logistics and participant engagement activities.
  • Support tracking of participant engagement and support retention initiatives.
  • Support continuous improvement of program effectiveness and participant experience.

 

FS Engineer Team Meetings

  • Support planning and delivery of field service engineer in-person meetings.
  • Support with the event logistics, travel, accommodations, meeting facilities, materials, and communications.

 

To be successful in this role, we expect you to have:

Education and Experience

Associate's or Bachelor's degree in Business Administration, Education, Organizational Development, or a related field preferred.

Minimum three (3) years of experience in program coordination, project management, workforce development, training administration, onboarding, event management, or related experience in lieu of education.
