FS Pool Coordinator

We are now looking for an enthusiastic Field Service Pool Coordinator to join our skilled team. The role is offered as a permanent contract and will be based in Gdańsk, Poland.

 

What will you be doing?

 

As a Field Service Pool Coordinator, you will play a crucial role in supporting our Parts and Field Service business. Your daily work will involve maintaining regular communication with internal stakeholders and Field Service Engineers to provide support and monitor progress, collaborating with job leaders to ensure efficient allocation of resources and adherence to project timelines.


Your responsibilities for the role include, but are not limited to: 

 

  • Coordinate Intra Group orders according to internal procedures and customer requirements, as well as Wärtsilä Quality, Health, Safety, and Environmental guidelines.
  • Prepare service orders by collecting all necessary details from internal and external customers, including scope of work, documentation, place of work, and travel arrangements.
  • Coordinate the assignment of personnel to specific work orders.
  • Conduct briefing and debriefing sessions with Field Service engineers, discussing safety aspects (JSA) and job details.
  • Assist Field Service engineers during job execution.
  • Act as the main contact person for internal and external customers during the work.
  • Monitor work progress and duration regularly.
  • Update internal systems (SWF, Planning Board, etc.).
  • Ensure timely invoicing of work orders.
  • Verify and approve service work reports and working hours in the system.
  • Approve travel expenses.
  • Close service orders in the system and invoice according to internal procedures.
  • Provide assistance in case of rework, including root cause analysis and cross-country negotiation with the customer. 
     

The below will enable you to succeed in this role:

 

  • Higher technical education, preferably in Marine Engineering, Mechanical Engineering, Energy Engineering, Electrical Engineering, or a related technical field.
  • Understanding of marine propulsion systems, marine engines, power plant equipment, and related service operations.
  • Attention to detail and a structured approach to work.
  • Proactive, solution-oriented, and resourceful approach to problem-solving.
  • Ability to manage multiple tasks simultaneously and prioritize them effectively.
  • Positive attitude towards learning, development, and utilizing new tools.
  • Proficiency in SAP will be considered an advantage.
  • Fluency in English language skills, both verbal and written.
