With full end-to-end responsibility, Wärtsilä Shaft Line Solutions are looking for a Field Service Coordinator to join the global field service organization. The coordinator will be responsible for coordinating the activity of field service engineers located in Europe and Poland.
The preferred location for this position is Gdansk, Poland. We offer a possibility to hybrid work.
Your role and responsibilities
As a Field Service Coordinator, you are the focal point for contact with customers requiring field service provision. Your main responsibilities include:
- Receipt and processing of field service inquiries; identifying service requirements, schedules, and locations.
- Plan activities, resources, spare parts, costs and time schedule for the work order.
- Diary management and coordination of field service personnel; matching available skilled personnel to jobs.
- Liaising with customers to coordinate detailed schedules, parts, tools, authorizations, and permits, and to formalize service bookings.
- Coordinate personnel when they are assigned on a work order.
- Act as a contact person for the customer during the work order.
- Raising internal and external orders for service provisions (spare parts, consumables, freight etc.)
- Collection of costs and preparation of invoices, timesheet and pay administration for service personnel.
- Service follow-up; ensuring customer satisfaction and obtaining feedback, maintaining service record files and KPIs.
- Ensure that the work is executed according to Wärtsilä QEHS guidelines and customer site procedures.
- Follow-up and report the status of the work order to customers or relevant internal stakeholders.
- Proactively work to enable cross-organizational cooperation.
In addition, you should be ready to take on extra tasks that come up due to changing situations. You’ll be working as a part of an experienced and enigmatic team with diverse expertise that supports each other.
Requirements for the position:
- Experience in a customer-facing role with responsibility for the collation of costs and preparation of invoices.
- A working knowledge of bookkeeping and commercial administration processes.
- Proficiency with standard MS tools and experience with SAP would be an advantage.
- It is beneficial to have a degree in Marine or Mechanical Engineering or similar.
- Fluency in English and Polish, both oral and written.
