Warranty Coordinator

We are now looking for Warranty Coordinators to join our Service team, Wartsila Gas Solutions.

 

This position is permanent and can have applicants either based in Norway, Poland & Spain. The position requires close and professional

communication with the team of product warranty experts in addition to coordination with other departments in Wartsila Gas Solutions.

Warranty Coordinator will whenever needed coordinate with the technical supportive teams, sales, quality department, logistic team and also

project department for ongoing warranty claims.

 

To be successful in this role, we expect you to have:

 

- Experience on similar Coordination or administration positions.

- Good communication and coordination skills.

- Ability to manage multiple tasks simultaneously and effectively.

- Experience of working in a fast-paced global environment.

- Systematic, structured and Self-motivated with the ability to work and take decision under pressure and stay organised.

- Ability to cooperate with people from different cultures.

- Experience in CRM tools / SAP is an advantage.

- Skilled in Microsoft office tools.

- Fluent in written and spoken English.

 

Main Responsibilities

 

-    Receiving the claims from customer and registering them in the system in a fast and professional way in line with defined warranty handling process, including data maintenance for relevant products/projects.
-    Distribute the claims to internal team of Product Warranty Experts.  
-    Making sure that all claims are registered in the system and Keep the notification status updated in SAP.
-    Keep the project status updated in SAP.
-    Coordinating Warranty interfaces with project and clarifying the warranty terms & conditions. 
-    All documentation related functions. 
-    Coordinating the purchasing functions with Purchasing Dept. to collect all required materials for sending RFQ to suppliers, when needed. 
-    Coordinate the parts shipments and reverse logistics related to claimed and/or purchased components.
-    Coordination and follow up the warranty requests to Service Delivery, Logistic, TS, Purchasing, Spare part teams. 
-    Collecting all documentations ( claim, service reports, RCA, warranty announcements, warranty end certificates, critical emails, etc.) and attach them to relevant notifications and link them to the system.
-    Manage all jobs in SAP , CRM & Outlook from an administrative standpoint.
-    Coordination for re-claiming cases and invoicing materials (keep track of claims and materials for invoicing).
