Workshop Coordinator

We are looking for a Workshop Coordinator to join the Operations Team in Parts and Field Service, Mediterranean Region.

The location for this position is Genoa, Italy. Hybrid work is an option for this role.

 

Your role and responsibilities 

 

As a Workshop Operations Coordinator you will work as responsible for all Workshop  job assigned towards the final Customer, cooperate with sales proposal team to estimate Field Services activities budget in terms hours and man/days, as well as interface with Sales for improving Customer satisfaction.

 

 

 

Your main responsibilities will be:

 

  • Receive and process workshop service enquiries; identify service requirements, schedules and locations.
  • Plan activities, spare parts, costs, and time schedules for work orders.
  • Liaise with customers to coordinate requirements and formalize service bookings.
  • Act as "point of contact" for the customer during the work order.
  • Raise internal and external orders for service provisions.
  • Execute service follow-ups; ensure customer satisfaction, obtain feedback and maintain service record files.
  • Ensure that the work is executed according to QSHE guidelines and site procedures and policies.
  • Follow up and report on the status of work orders to customer and/or internal stakeholders.
  • Continuously seek for solutions in according to best practices.
  • Promote WCI (Wartsila Continuous Improvement) in the processes to improve the customer experience and customer value.
  • Promote effective communication with other departments (Technical Service, Sales Proposal, Sales, Contract and Project Management etc.) to, according to needs and requirements, ensuring the satisfaction of internal and external customers.
  • Follow up the work orders until invoicing, including change orders, technical documentation, reports, travel expenses, and vendors invoices.
  • Manage all jobs in SAP and CRM (ServiceWorkForce) from an administrative standpoint.

 

 

Requirements for the position:

 

  • Excellent co-operative skills
  • Strong communication skills and customer relations
  • Good negotiation skill
  • Good reporting skills
  • Good command of English, written and verbal
  • Good knowledge of Microsoft Office tools (Words, Excel, etc.).
  • Bsc. or Msc. in Engineering or the equivalent are highly welcomed.
  • At least some knowledge of Engines structure and components are a must.
  • More than 3 years’ experience of similar tasks in Field Services are a plus
  • Moderate on-call expectations to support customers
  • Strong interpersonal skills are required to communicate daily with many different internal and external stakeholders.
