Wartsila Voyage is working on the future of fleet operations around its well-known bridge systems and integrating currently separate processes for voyage planning, weather routing, voyage execution and fleet performance management. 


We are looking for an energetic, ambitious and enthusiastic Team Assistant & Office Manager to join the team in our office in Hamburg. You will report to the Director Wärtsilä Voyage Germany.


What are your main tasks and responsibilities?


  • Support of the "Voyage Solutions" Management Team in Hamburg
  • Handling of general secretarial work, including the scheduling of meetings, telephone, mail, organisation of filing and e-mail accounts, organisation of the secretarial infrastructure, office supplies organisation
  • Travel organization for domestic and international trips, creation of travel expense reports
  • Preparation and follow-up of guest hospitality, organisation of meetings
  • Handling of correspondence of all kinds, mainly in English
  • Evaluation and preparation of business management data including statistics, reports, presentations (partly on your) own responsibility
  • Maintaining reference lists
  • Preparation of resolutions
  • Organisation of the handling of notarial matters
  • Organization of internal and external events and activities
  • Internal coordination with various operating departments and subsidiaries
  • Processing of corporate law transactions
  • Maintenance of databases of all kinds
  • Preparation of presentations and resolutions
  • SAP reports
  • Preparation of cost analyses


What do we expect from you?


  • Commercial training / (first) work experience in a comparable position
  • Very good command of English, both written and spoken
  • Very good knowledge of Office 365, knowledge of SAP is an advantage
  • Basic knowledge of business administration, commercial and corporate law
