SLS JUNIOR SPARE PARTS COORDINATOR, REGION 2 (m/w/d)

We are looking for a SLS Junior Spare Parts Coordinator, Region 2, to support spare parts coordination activities across the region and contribute to reliable, efficient and customer-focused order handling. In this role, you will provide technical and administrative support to the sales and spare parts teams, help prepare quotations and order documentation, follow up deliveries, and support new SLS ways of working focused on process discipline, visibility and continuous improvement. 

 

 

This is a temporary position for 12 months, with the possibility to extend depending on business needs and market situation and the preferred location for this position is Hamburg, Germany. We offer a possibility of hybrid work.

 

 

What You Will Be Doing:

 

 

As a SLS Junior Spare Parts Coordinator, Region 2, your work will include supporting end-to-end customer service, including creation of quotations and orders, active delivery follow-up, customer communication, and documentation quality. You will work closely with experienced Spare Parts Coordinators, Regional Team Leaders, Sales Managers, Sales Support and SLS sites to ensure a first-class customer experience. The role is designed for a junior profile and will include structured onboarding, learning of Wärtsilä and SLS spare parts processes, and increasing responsibility as your knowledge grows.

 

 

Responsibilities:

  • Support spare parts quotations, orders, deliveries and non-conformities for SLS Region 2.
  • Act as a link between customers, Sales, Sales Support, SLS sites and factories during the spare parts delivery process.
  • Prepare and coordinate quotations and orders according to SLS working procedures, local requirements and current roles and responsibilities flow.
  • Ensure accurate customer master data, delivery instructions, commercial details and required approvals are checked and archived in line with the agreed process.
  • Support timely and high-quality customer responses by keeping quotations, order acknowledgements and sales documents clear, complete and up to date.
  • Actively follow up quotations before expiry and provide relevant feedback to Sales and the spare parts team.
  • Actively follow up the order book, delivery dates and pending actions to support on-time delivery and reliable customer communication.
  • Support KPI improvement activities related to quotation response time, AOOL/AOQL follow-up, order book visibility, disputes and delivery performance.
  • Use SLS tools and platforms, including SAP/Fiori and Service Timeline, to improve visibility, process quality and customer support.
  • Participate in Kaizen and continuous improvement activities by identifying small process improvements, documenting actions and sharing learnings with the team.
  • Escalate issues through the internal SLS network when support is needed from Sales, factories, supply chain, credit control or product companies.

 

 

To be successful in this role, we expect you to have: 

  • Have a willingness to learn Wärtsilä and SLS spare parts coordination processes.
  • Understand customer needs and show a service-minded approach in daily communication.
  • Be proactive and customer-focused, taking ownership of customer requests and ensuring timely, professional follow-up.
  • Be structured, accurate and able to follow agreed processes, checklists and working instructions.
  • Be comfortable working in an environment where processes, tools and responsibilities evolve, and able to adapt positively to change.
  • Have good communication and collaboration skills across cultures and functions.
  • Fluent German and English
  • Be curious about digital tools, data quality, automation and continuous improvement.
  • Show an interest in developing technical product knowledge and a willingness to learn the SLS product portfolio to support increasingly independent quotation and customer support activities.
  • Have basic SAP/Fiori knowledge or readiness to learn; previous SAP experience is considered an advantage.

 

 

In this role, limited travel may be required for onboarding, training or to support local sales and customer-related activities.
