We are now seeking a Document Controller reporting to the Quality Assurance Manager. This role is based in Havant in the UK and we offer a hybrid flexible working arrangement.
The role, working within the Quality function will support the wider business to ensure the efficient management, organization, and distribution of departmental and project-related documents and records to ensure the accuracy, integrity, and security of our company data and information.
What you will be doing:
- Maintaining the company BMS (Business Management System) including:
- Developing and improving the current BMS into a structured, consistent and intuitive business tool
- Maintenance and oversight of an appropriate document review process
- Creating and maintaining document templates
- Ensuring BMS documentation is maintained accurately with appropriate protective and export control markings, other appropriate identification and the correct referencing
- Management of robust records retention and archiving processes
- Coaching and training employees to optimise BMS effectiveness
- Supporting development and migration to electronic document management systems using SharePoint, SAP, Teamcenter etc
- Collaborating with internal functional and process leads to improve and develop document management solutions and approaches to meet internal, customer and regulatory requirements
- Reporting on BMS use and effectiveness
- Supporting the wider Quality function as part of a coordinated approach towards improving quality and advocating a continuous improvement culture.
What we expect from you
- Experience of working in similar role, ideally in a highly regulated industry
- Knowledge and experience of electronic document management tools
- Microsoft Office experience, including SharePoint
- Excellent communicator with strong analytical skills
- A strong team player with the ability and willingness to also work independently in a systematic and structured way.
- Ability to take responsibility for your work and take the initiative to secure the completion of your tasks
- Logical sound judgement and maintains the highest ethical standards
- Motivated and positive attitude to identify practical solutions
- Diplomatic in approach to dealing with users across varied functions
