Wartsila Defence Solutions Ltd (or WDSL) is part of the wider Wärtsilä corporation which is an innovative technology company known for being a frontrunner in the Marine and Energy markets.

WDSL is looking for an Export Control Coordinator to join our Export Control department. This role will be based at Havant, Portsmouth.

 

The role is a vital part of the effort to ensure WDSL remains compliant with governmental licencing requirements, maintains auditable records of our shipments, and provides guidance and assistance to the wider team on Export Control processes.

The position will be based at our Havant, UK, office with some flexibility on home working as a hybrid solution after the probation period (if required).


What you will be doing


In this position, your work will include handling of Export Licences, reviewing paperwork, recordkeeping, assisting with government audits, and working with Wartsila colleagues across the world on shipments.

To excel in this role, you will need a high attention to detail and great organisational skills.

An understanding of Export Controls is preferred, but internal and external training will be provided to the right candidate.

As an Export Control Coordinator, your work will focus on these responsibilities:  

  • Review, approval and recordkeeping of export-controlled transactions and shipments
  • Preparing and drafting end user documentation (e.g. Consignee Undertakings & End User Undertakings)
  • Providing advice on the completion of End User documentation and / or export licence requirements to our customers
  • Review & approval of end user documentation
  • Liaise with customers and End Users to ensure shipments are on schedule
  • Proactively complete Export Licence applications and renewals (both UK and US licences)
  • Export Licence determinations (using both UK and US licences)
  • Communicate with UK government agencies for advice on shipments or licences
  • Maintaining accurate and up-to-date spreadsheets / records necessary for UK government audits
  • Working with the Customer Service team to pro-actively ensure export control requirements are completed in a timely manner
  • Liaising with Logistics and Shipping teams to pro-actively ensure export-controlled shipments are completed in a compliant manner and to agreed schedules
  • Coordinate with the Procurement team on movements of goods and technology to our subcontractors and suppliers
  • Support Export Control Manager with other ad hoc export control tasks as required

 

To be successful in this role, we expect you to have the following attributes and skills:
 

  • Have a high attention to detail
  • Be able to work well independently, systematically & logically
  • Be able to recognize mistakes and make corrections as required.
  • Have experience working in an admin-intense role
  • Be competent with Microsoft Excel & Word
  • Have experience with an SAP system.
  • Some experience of export control and/or exports processes (preferred but not essential)
  • The position is to be offered subject to the candidate successfully obtaining UK security clearance.
  • Any applicants must hold a British Passport, or be eligible to hold one, and shall have resided in the UK continuously for the last 5 years.
