Executive Assistant to HR and Communications, Branding & Marketing

We are now looking for Executive Assistant to join our team and provide excellent level services to Wärtsilä Executive Vice President Human Resources, and Executive Vice President Communications, Branding & Marketing. This role reports directly to the EVP HR. 


As an Executive Assistant you will provide comprehensive support to both EVPs by handling diverse responsibilities and challenges. We are looking for someone who can juggle multiple tasks and competing priorities, using your judgment in preparing and planning the two EVPs’ agenda and interactions with internal and external stakeholders. You will need to be proactive and think ahead, while maintaining flexibility in finding creative solutions to the unexpected in a high pace environment. 

 

We are looking for an experienced Executive Assistant with excellent skills in cooperation, communication and networking. You also possess a superior level of integrity with the ability to handle sensitive and confidential information as well a resourceful and service-focused mindset. As Executive Assistant you will participate actively in the meetings of the Management teams as an invitee. You will for example schedule and keep minutes at management team meetings and help to ensure that reports and materials are submitted on time and the governance is followed. Your tasks include also calendar and travel management responsibilities, event organizing, and other HR and communication related duties.  You will have an opportunity to participate in ongoing projects and initiatives as well as support internal communications within the HR organization.

 

To succeed in this role, we are looking for someone with:
• Ability to organize, structure and prioritize a wide range of executive support related tasks in an efficient and proactive way
• Team player qualities who can also work independently
• A flexible, positive and inclusive mindset
• Strong problem-solving and decision-making skills with great attention to detail
• Excellent written and verbal communication skills in both English and Finnish 
• Superior level of integrity, professionalism and confidentiality 
• Strong social competence and networking skills
• Experience in the different IT tools (Office 365)
• Strong drive for continuous improvement and a determination to finalize tasks on time with a high-quality mindset
• Previous experience in HR, ideally in a global listed company.

The location for this position is Wärtsilä Campus in Salmisaari, Helsinki. We work in hybrid mode and remote working part of the week is also a possibility.
