We are now looking for an Executive Assistant to join Wärtsilä and provide high-quality, trusted support to our Executive Vice President, Human Resources, Safety and Corporate Security, and Executive Vice President, Marketing and Communications. The role reports directly to the EVP, Human Resources, Safety and Corporate Security. The location for this position is Wärtsilä Campus in Salmisaari, Helsinki, Finland. We work in hybrid mode, and remote working part of the week is also a possibility.

Your role and responsibilities
As an Executive Assistant, you enable effective leadership by ensuring focus, structure and seamless execution. You provide comprehensive and proactive support to both EVPs, helping them navigate priorities, prepare interactions and stay connected with internal and external stakeholders.
The role combines classic executive support with opportunities to contribute more broadly, offering exposure to strategic topics, ongoing initiatives and collaboration across the organisation. You will work in an environment where professionalism, respect and continuous improvement are genuinely valued. You will also be part of a strong, experienced and supportive Executive Assistant network.
Your work will focus on these responsibilities:

Providing high-quality, trusted executive support to the EVP, Human Resources, Safety and Corporate Security and EVP, Marketing & Communications, acting as a valued partner in enabling effective leadership

Managing and prioritising the EVPs’ calendars, meetings and travel arrangements to ensure focus, flow and well-prepared decision-making

Preparing agendas, materials and follow-ups, and participating as an invitee in management team meetings, including minute-taking and governance-related coordination

Supporting smooth and professional interaction with internal and external stakeholders, applying sound judgement and a high level of confidentiality

Coordinating events, leadership meetings and selected initiatives across HR, Marketing & Communications and related functions (incl. Safety and Corporate Security as relevant)

Contributing to ongoing projects and internal communications within the HR organisation and beyond

Using modern digital tools, including Office 365 and AI-enabled solutions, to improve efficiency, quality and ways of working
To be able to succeed in the position, we expect you to have:

Extensive experience (10+ years) in an Executive Assistant or equivalent senior support role, working closely with senior leaders

Strong ability to organise, structure and prioritise executive support activities in a proactive and reliable way

A collaborative and driven team player mindset combined with the ability to work independently and take ownership

A flexible, positive and inclusive approach, with confidence operating in a dynamic, international environment

Strong problem‑solving and decision‑making skills, with great attention to detail and follow‑through

Excellent written and verbal communication skills in both English and Finnish

A high level of integrity, professionalism and discretion when handling sensitive and confidential matters

Strong interpersonal and networking skills, with the ability to build trust across senior stakeholders

Previous experience in HR, ideally within a global and complex organisation or in close collaboration with senior leadership

Experience using modern digital tools (Office 365) and openness to leveraging AI to improve efficiency, quality and ways of working

Relevant degree in executive or administrative support, or a comparable field (e.g. secretarial or administrative assistant programmes) is required

Excellent written and verbal communication skills in both English and Finnish
