Senior HR Process Specialist

We are looking for a Senior HR Process Specialist with a main responsibility for end-to-end hire processes and digital employment documentation (My Employment Documents). The preferred location for this position is a main Wärtsilä office within European time zones. We offer the possibility of hybrid work.
This is a fixed-term assignment (12 months initially) covering a maternity leave, within the HR Strategy Office, reporting to the Head of HR Service Development.
Your role and responsibilities
As a Senior HR Process Specialist, your work will include hands-on responsibility for developing, maintaining, and continuously improving hire-related HR processes, with a strong focus on My Employment Documents (MED). You will act as a process and solution expert for digital employment documentation and play a key role in ensuring stable, high-quality execution of end-to-end hire processes.
You will be working with a wide range of HR and business stakeholders in a global environment, balancing operational responsibility with continuous improvement work. The tasks can also be adjusted based on your individual skills and interests.
Your work will focus on these responsibilities:
- Act as a Senior HR process and solution expert for My Employment Documents (MED)
- Ensure correct, consistent, and compliant use of MED across hire and employment-related HR processes
- Support the execution and development of employment contracting, hire actions, and employment changes enabled by MED
- Own and continuously improve hire-related document templates, data inputs, and documentation standards
- Monitor document quality, data completeness, and first-time-right outcomes, driving corrective actions
- Triage and resolve complex cases and escalations related to digital employment documents and data accuracy
- Maintain and improve HR process documentation, SOPs, work instructions, and templates
- Partner closely with HR Services, HRIS, and other stakeholders to stabilise MED usage during development and change
- Act as an SME in an end-to-end hire continuous improvement journey, including process mapping, future-state design, workshops, and testing support
To be able to succeed in the position, we expect you to have:
- Proven experience in HR operations, HR process management, or HR service delivery
- Hands-on experience with digital HR document management solutions and hire-related HR processes
- Experience in leading process improvement initiatives
- Strong understanding of HR data quality, controls, and compliance
- Ability to balance operational (BAU) responsibilities with project-based work
- A structured, collaborative, and solution-oriented way of working
- Experience in a global HR context; exposure to HR transformation or system-enabled process change is an advantage
- Excellent spoken and written English skills
