We are seeking a proactive and experienced Solution Owner to lead and manage two critical HR IT solutions: the HR Case Management System (ticketing tool) and the MyHR Portal, which serves as the primary interface for employees to engage with HR services. This role is pivotal in ensuring seamless user experiences, operational efficiency, and continuous improvement of HR service delivery through digital solutions.
The preferred location for this position is Finland but also Sweden, Denmark or Germany are negotiable. We offer the possibility of hybrid work. 
  
Key Responsibilities:

 

  • Solution Management: Lead the overall management of the Case Management System (Zendesk) and MyHR Portal, ensuring alignment with the organization’s strategic objectives and HR needs.
  • Implementation and Optimization: Drive the implementation of new features and functionalities, continuous improvements, and enhancements to maximize system effectiveness. This includes hands-on involvement and leading software development in the configuration, customization, and deployment of changes to meet specific business requirements. The role demands a proactive approach to identify and resolve implementation challenges, ensuring a smooth and efficient rollout of new functionalities.
  • Test Case Creation and UAT Coordination: Develop comprehensive test cases and coordinate User Acceptance Testing (UAT) to ensure that all new features and functionalities meet the required standards and business needs. This involves working closely with HR to validate and verify the system's performance and usability.
  • Stakeholder Collaboration & Vendor Management: Work closely with HR, IM and other relevant stakeholders, including vendors, to gather requirements, address concerns, and ensure seamless integration with other systems and processes.
  • Compliance and Best Practices: Oversee the day-to-day operations of the ticketing tool and portal, ensuring high availability, usability, and data integrity. Monitor and analyze usage metrics, user feedback, and incident reports to drive continuous improvement. Ensure compliance with data privacy, security, and regulatory requirements.

Qualifications:

 

  • Education: Bachelor’s degree in Information Technology, Human Resources, Business Administration, or a related field. A Master’s degree is a plus.
  • Experience: Minimum of 3 years of experience working with Case Management Systems (Zendesk experience preferred, others seen as a plus). Experience with employee self-service portals, as well as familiarity with chatbot technologies, knowledge management, and user experience design. Proven track record of successful implementation projects, demonstrating the ability to manage the entire lifecycle from planning and design to execution and post-implementation support.
  • Technical Skills: Strong understanding of case management processes, configurations, and best practices. Understanding of system architecture and integrations from/to HRIS systems. Requirement gathering and backlog management: balancing business needs with technical constraints and ensuring clarity of requirements. Eye for UI/UX detail, focus on user experience, usability, and accessibility. Ability to work with developers on API/feature design discussions, testing, and integration (understanding of endpoints, payloads, error handling, and monitoring). Awareness of emerging technologies, including AI.
  • Teamwork & Communication Skills: Strong verbal and written communication skills, enabling effective interaction with stakeholders at all levels of the organization. Excellent collaboration and problem-solving abilities.
