We are looking for an enthusiastic and proactive Administrative Coordinator to support daily operations and resource management, ensuring seamless on-site services and business activities. In this role, you will also take ownership of identifying improvement opportunities, driving solutions, and implementing enhancements across the organization to foster continuous growth and efficiency.

 

The preferred location for this position is in Istanbul, Türkiye. However, the office is located in Tuzla, so ideally, you either live nearby or are willing to relocate to the area. This position offers a hybrid working model, with the flexibility to work 3 days in the office and 2 days from home each week.

Your role and responsibilities

 

As an Administrative Coordinator your work will focus on these responsibilities:

 

  • Planning, scheduling and allocating Field Services' Resources in Türkiye supporting specific internal customers.
  • Follow up and contribute to target and KPI achievement.
  • Field Service processes and tools according to Business as well as Quality, Health, Safety and Environmental.
  • Ensuring continuous quality development of the field service delivery.
  • Support the development of own competences as well as competences within own department.
  • Support/be active in improving the QEHS performance within the department.
  • Strive for continuous improvements/propose improvements in processes/way of working.
  • Report near misses (WeCare).
  • Approve invoices related to the business.
  • Issue invoices and credits in SAP.
  • Issue POs in SAP and WeBuy.

 

As an Administrative Coordinator your work will also focus on these administrative tasks:

 

  • Admin handling hour registration/corrections in CATS, prepare for Team leader to approve for salary.
  • Travel Expense reporting support for FS Resources.
  • "Maintainer" and "Key-user" of Confidential Data Platform (CDP). Keep data maintained.
  • Support FS Resources with FS Mobility.
  • Visa; vaccination; travel support.
  • Support in ordering working clothes for FS, and follow-up the cleaning agreement.
  • Support with purchasing materials the department.
  • Support with invoicing/ of FS/CM orders as well as invoicing related tasks.
  • Support to open/handle orders.
  • Continuously stay up to date with company policies and guidelines providing administrative support in connection with Resources' planning.

 

Requirements for the position

 

  • Proficiency in both written and spoken English and Turkish is a must.
  • Experience with SAP.
  • Advanced proficiency in Microsoft Excel.
  • Safety-oriented mindset.
  • Resource planning experience is an advantage.
  • Organizational abilities with a proactive and problem-solving approach.
  • Understanding of general financial principles.
  • Knowledge of local legislation and labor laws.
  • Strong skills in reporting and data analysis.

 

As an ideal candidate you might also have...

 

  • BSc. in economics or equivalent is beneficial, but not a requirement.
  • Teamworking skills.
  • Able in communication at all levels.
