We are now looking for an Administrative Officer to join our New Build Project team in Jakarta, Indonesia. This role will provide vital administrative and office support, ensuring smooth operations and collaboration across diverse teams.

Key Responsibilities

  • Manage day-to-day administrative tasks for PT Wärtsilä Indonesia office, supporting all New Build project team members.
  • Coordinate with travel partners to manage logistics, including visa assistance, accommodations, transportation, and meals, in line with company policies.
  • Facilitate smooth travel preparations for overseas guests and counterparts visiting PT Wärtsilä Indonesia.
  • Support project customer invoicing from initiation to submission and follow-up.
  • Assist with project billings and administrative billing activities.
  • Create Purchase Requests and Purchase Orders through SAP & WeBuy for project-related purchases.
  • Prepare monthly timesheets for local project teams and submit them to Finance.

Qualifications

  • Graduate degree with a minimum of 4+ years of experience in a similar field.
  • Advanced Microsoft Office skills, with the ability to quickly adapt to firm-specific programs and software.
  • Strong organizational, project management, and problem-solving skills with excellent multi-tasking abilities.
  • Experience working with multi-located and diverse teams across the globe.
  • Exceptional interpersonal skills with a friendly and professional demeanor.
