Benefits & Leave Coordinator
The Benefits & Leave Coordinator supports the administration of U.S. employee benefits programs. This role is responsible for processing benefits transactions, coordinating leave of absence programs, and providing high-quality support to U.S.-based employees.
The position ensures compliance with U.S. federal and state regulations while partnering with HR, payroll, vendors, and third-party administrators.
Duties / Responsibilities:
Benefits Administration
- Administer U.S. benefits programs including medical, dental, vision, life insurance, disability, 401(k), and voluntary benefits
- Process employee enrollments, life event changes, and terminations in HRIS/benefits systems
- Process and manage employee leave of absence request and coordinate with vendor and payroll
- Ensure accurate benefits eligibility tracking and data integrity
Employee Support
- Serve as first point of contact for U.S. employees regarding benefits-related questions
- Provide clear, timely responses via email, ticketing system, or HR support channels
- Support new hire onboarding by explaining available benefits and enrollment procedures
Vendor Coordination
- Liaise with benefits providers and third-party administrators to resolve issues
- Support file transmissions, eligibility feeds, and reconciliation processes
- Escalate complex issues to U.S. Benefits team as needed
Compliance & Reporting
- Assist in ensuring compliance with U.S. benefits regulations (e.g., ACA, COBRA, HIPAA)
- Support preparation and distribution of required notices and documentation
- Maintain documentation and audit-ready records
Open Enrollment Support
- Coordinate and execute annual open enrollment activities
- Assist with communications, system updates, and employee education materials
- Support testing of enrollment systems and validation of elections
Data Management & Reporting
- Maintain accurate employee benefits data in HR systems (e.g., Workday, ADP, etc.)
- Generate regular and ad hoc reports for internal stakeholders
- Perform audits and reconciliations to ensure accuracy
Qualifications:
Education & Experience
- Bachelor’s degree in human resources, Business Administration, or related field preferred
- 2–5 years of experience in benefits administration supporting U.S.-based employees
Skills & Knowledge
- Strong understanding of U.S. benefits programs and terminology
- Familiarity with U.S. compliance requirements (ACA, COBRA, HIPAA) preferred
- Proficiency in HRIS systems (UKG, SAP) and Microsoft Office (Excel required)
- Excellent attention to detail and data accuracy
Language Requirements
- Fluency in English
