Project Documentation Specialist

Do you like to be part of an international and technical project organisation with a focus improving the sustainability of the marine industry? Are you able to oversee and safeguard technical and customer specific project documentation on an accurate and structured way?

 

In this position you will have the chance to work within our Marine Power, Project Services organisation which is playing a key role in the overall Marine Power Retrofit projects. Our Project Delivery Department is responsible for the management of retrofit and conversion projects with a focus on obsolescence management, lifetime extensions, efficiency improvements and decarbonisations programs. These projects concerning the engineering, assembly, supply, installation and commissioning of new diesel engines, ship propulsion systems and/or ship automation systems, as well as projects for modification, maintenance or repair of these systems.

 

As a Project Documentation Specialist, you are our central go-to person for the project delivery organisation in the Netherlands. You receive, gather and chase crucial project related documents such as drawings, technical specifications, change/variation orders, test reports, class certificates and to register and archive them according the project communication plan. You actively look after the final documentation and assures that it is delivered to the customer within the agreed timeframe. Due to your effort, we can assure project quality and improve the over-all project control.

 

Due to the high volume of international and multi-portfolio projects, you will have the chance to work with many internal and external stakeholders such as Engineering, Project Management, Wärtsilä production locations, Installation & Commissioning, Suppliers, Classification Agencies and Customers. You act as a Mentor for other project team members in relation to document control and are able to serve as a source of information for new or less experienced colleagues.

 

The location for this position is our office in Drunen, but your projects have a global scope.

What are your main tasks and responsibilities?

  • You are the central point of contact for Project Managers & Project Engineers when it comes to the management of project related documents.
  • You collect and store on an accurate and structured way all the project information from early customer specifications, vendor information, change/variation orders, class certificates and final installation drawings.
  • You maintain number and version and further distribute according the project communication plan within several systems (FTP, one Drive, SAP).
  • Coordination of code resolutions sytstem and manuals to ensure updates are processed in accordance with the design changes, together with our Technical Information department.
  • You follow the project planning and are able to identify bottlenecks in documentation processes.
  • Define proposals for improvement to optimize processes and tools to develop feasible, reliable solutions.

 

What do we expect from you?

  • You hold a Technical Bachelor degree or similar level achieved by working experience within a technical and international working environment. Technical Degree is seen as a strong benefit.  
  • Experience with Project Management within an ERP System (SAP) and proper MS office experience.
  • You are able to recognize documentation standards and are familiar with Project Management methodologies.
  • You are pro-active, to assure on time submittal of documents.
  • You can add extra value to our team if you have solid communication skills and if you are able to cope with deadlines.
  • You have a pro-active and result based mindset, to assure on time submittal of documents.
  • Fluent in Dutch and English (written and spoken) is required.
