Service Coordinator

Do you always do your best to boost clients satisfaction? Are you a sharp problem solver? Do you feel excited by coordinating maritime service activities?

 

Just a random day as a Service Coordinator: It is Wednesday morning and you got yourself a cup of coffee while chatting with your team leader who assigned you to your next project. This time, it is a big piece of a puzzle you need to solve. You, as a Service Coordinator, need to arrange a service repair on our client’s container vessel in the harbour of Hamburg. You need to find a Wärtsilä engineer who can be there promptly and with the right tools. You go for it! But things do not always go that smoothly… The spare parts needed are not there, and you need to facilitate the delivery and logistics. In the meantime, the client is pushing to put its vessel back in operations as soon as possible. While looking outside at the Rotterdam Harbour, you start thinking about the radar inspection you need to arrange for another customer this afternoon.

We are looking for a customer minded and hands-on Service Coordinator to strengthen our coordination team within the Voyage Solutions Services Department in Schiedam, the Netherlands.
 

In this position, you will be managing a wide range of international service projects related to the maintenance, repair and upgrades of our maritime customers. Our main product lines are Navigation, Communication, Automation and TV/Internet systems. Our customers are mainly ocean-going vessels in the dredging, cruise, merchant and oil & gas industry. Though they are located in the Benelux, the projects can be executed all over the world. You are in charge of customer satisfaction, the ad hoc planning, and the coordination of Field Service engineers on location. To do so, you also take care of the commercial, administrative and financial supervision of these projects where multiple internal and external stakeholders are involved.  

 

What are your main tasks and responsibilities?

  • You manage the full scope of the service projects assigned to you. This means coordinating multiple service jobs simultaneously in a cost-efficient way.
  • Customer satisfaction is your priority; you nurture that by acting upon the feedback received and by analyzing the service record files.
  • You coordinate Service Orders from the order acceptance up to the invoice payment.
  • Act as the first point of contact for the customer, internal stakeholders and outsourced agents during the execution of the project. Follow-up and report on the status of work orders to customer and/or internal stakeholders is fundamental for the success of your role.
  • You ensure that Service Engineers, parts and tools are available on site (e.g. request of travel documents and booking of hotels)
  • You ensure completeness and processing of orders, job files (related to invoicing) and closes orders when technically complete
  • Continuous improvement; contributes to the implementation of optimization of processes and tools

 

What do we expect from you?

  • You hold a MBO+ degree, with some years of working experience in a service-minded organisation.
  • If you have a technical or maritime educational background, or working experience within a technical environment, it is seen as a plus.
  • You are disciplined, assertive and you have strong communication skills both in Dutch and English, spoken and written.
  • You live within an acceptable driving distance from Schiedam.
  • Good knowledge of MS Office and a ERP system (preferably SAP)
  • You will take part in the emergency line shift
  • You have a hands-on mentality and can perform as a team player in a dynamic international setting.
