Service Support Administrator, Water and Waste

Water and Waste business unit (WAW) is a true end-to-end business as part of Wärtsilä Portfolio Businesses. WAW is a global leader in designing and supplying innovative wet and dry waste equipment and freshwater generation solutions for passenger vessels & conventional waste management and ballast water treatment equipment for all marine segments. WAW has the industry’s broadest product offering to secure beyond compliant operations for our marine customers.

 

We have now a unique and exciting opportunity for a Service Support Administrator for the Water and Waste business, based in UK, Poole, Dorset. 

 

As the Service Support Administrator you will be working with the Field Service Resource Manager to aid in leading a team of global engineers and contractors. Working with key stakeholders in the business to help manage budget requirements, project plans for resource and the constantly moving requirements of warranty and service. Helping to managing engineer’s PO’s, global travel, HR, training, vaccinations, expenses, and timesheets.

What will you be doing?

 

  • Ensure timesheets and expenses are processed in accordance with individuals entitlements and input into the business systems received.
  • Process ad check overtime records to pass the information ont payroll departments to meet their deadlines.
  • Provide weekly reports on missing timesheets, issuing to FS resource manager and help chase if necessary.
  • Maintain Service work force database with accurate information.
  • Review and report on work in progress providing weekly reports.
  • To liaise and maintain good relations with customers, suppliers and all Wartsila team members.
  • Chase, where necessary engineers' reports, expenses and timesheets.
  • Aiding engineers to book travel and accommodation through Wartsila travel agent and in line with service and project demands.
  • Documenting and tracking and updating engineers training records.
  • Building and maintaining an engineer's skills matrix.
  • Booking required training courses to maintain engineer's competencies.
  • Manage and monitor engineers' immunisations, A1s (or new equivalent), Seamans books, BOSIETS and MISTs.
  • Creating and maintaining an engineer's company tool register.
  • Creating and maintaining an engineer's PPE register

  • Exceptional levels of accuracy and confidentiality, together with IT skills to administer personal details
  • Ability to manage multiple tasks and prioritize activity to meet business needs
  • Excellent organisation skills and the enthusiasm to strive in a busy environment with strict and demanding deadlines
  • The ability to communicate, influence, and network with stakeholders at all levels, both internally and externally
  • Good attention to detail and a strong desire to seek ways to deliver continuous improvement
  • The ability to effectively manage workload and prioritise demand in order to meet and exceed stakeholder expectations
  • A positive level of proficiency in desktop applications, including Excel, Word, and PowerPoint
