At Wärtsilä, we are shaping the decarbonization of the marine and energy industries through innovation, collaboration, and operational excellence.

We are looking for a Mobilization Coordinator - Field Service to support our growing Field Service organization in Brazil.

In this role, you will help ensure that our Field Service professionals are ready to mobilize safely and efficiently by coordinating documentation, training, medical requirements, customer access, and other administrative and compliance activities.

This is a great opportunity for someone who is highly organized, detail-oriented, comfortable managing multiple priorities, and motivated to continuously improve the way things are done.

The position is based in Brazil.

What You Will Be Doing?

As a Field Service Resource Coordinator, you will support the operational readiness of our 4-Stroke, Propulsion, and Electrical & Automation Field Service teams.

You will manage a high volume of documentation and requirements across multiple service activities, working closely with Field Service teams, customers, subcontractors, HR, and external providers. Accuracy, proactive follow-up, and the ability to adapt to changing operational priorities will be key to succeeding in this role.

Key Responsibilities:

  • Coordinate and monitor mandatory training requirements for Field Service personnel.
  • Track validity and expiration dates of training, medical examinations, certifications, and other required documentation.
  • Coordinate occupational health examinations and related compliance requirements.
  • Prepare, review, and validate documentation required for access to customer sites and offshore facilities.
  • Submit and maintain documentation through customer compliance portals and contractor management systems.
  • Manage company registrations and updates within customer systems.
  • Support workforce mobilization, ensuring required documentation is complete and available on time.
  • Coordinate visa applications, international insurance requests, and roaming services for traveling personnel.
  • Support logistics and administrative arrangements related to training activities.
  • Create purchase requisitions related to training and administrative requirements.
  • Coordinate documentation requirements for subcontractors supporting Field Service activities.
  • Prepare and monitor reports related to contractual and compliance documentation.
  • Proactively follow up on pending requirements and identify potential gaps before mobilization.
  • Identify opportunities to simplify, standardize, digitalize, and improve administrative and documentation processes.

What We Are Looking For?

  • Degree in Business Administration, Administration, or a related field.
  • Fluency in Portuguese and English, both written and spoken.
  • Strong Microsoft Office 365 skills.
  • Strong organizational skills and excellent attention to detail.
  • Ability to manage a high volume of documentation and multiple priorities simultaneously.
  • Ability to work independently and proactively follow up on pending activities.
  • Ability to remain organized and effective when operational plans and priorities change.
  • Customer-focused and collaborative mindset.
  • Strong problem-solving and continuous improvement orientation.
  • Comfortable working with systems, digital tools, and administrative platforms.

Considered an Advantage:

  • Spanish language skills.
  • Experience with customer compliance or contractor management platforms.
  • Experience supporting Field Service, offshore, marine, energy, or other industrial operations.
  • Experience with document control, workforce readiness, or mobilization activities.
  • Experience with Power BI or similar reporting and data visualization tools.

To Succeed in This Role:

You are someone who brings structure to a busy operational environment. You pay close attention to detail, double-check critical information, and take ownership of following activities through to completion.

You are comfortable working autonomously, adapting when plans change, collaborating with different stakeholders, and looking for better and more efficient ways of working.

If you are passionate about coordination, continuous improvement, and supporting operational excellence, we encourage you to apply and become part of our journey towards enabling sustainable societies through innovation in technology and services.
