About the role
As the Facility Coordinator, you will be responsible for overseeing the daily operations and maintenance of our facilities. This role involves ensuring that all building systems are functioning efficiently, coordinating with service providers, and managing facility-related projects. The Facility Coordinator will also be tasked with maintaining safety standards and ensuring compliance with regulatory requirements.
 
To be successful in this role, the individual must be self-motivated and possess excellent communication and coordination skills. The ideal candidate will be proficient in multitasking and have a general understanding of commercial facility system operations. Additionally, they should be technically skilled to properly assess maintenance requests, ensuring that all tasks are completed efficiently and effectively.

 

Must be able to work hybrid, in our downtown Vancouver office.

 

Your responsibilities for the role include, but are not limited to:

  • Maintain the overall appearance of our facilities, both inside and out. This not only ensures a professional and welcoming environment but also upholds our commitment to operational excellence and safety standards.
  • Support with the execution of safety, health, and environment inspections and safety walks throughout our Canada locations.
  • Conduct orientation of employees, visitors and contractors regarding safety and environmental practices.
  • Serve as the key user for our regional security system, continually monitoring its operation and troubleshooting when required.
  • Maintain all local emergency plans for fire, hurricane evacuation and disaster response.  Serve as facility emergency response coordinator.
  • Collaborate closely with our QEHS team to maintain our ISO certifications and compliance through routine internal inspections, reporting, internal and external audits.
  • Assist in the coordination and necessary setup of meetings and events to ensure their smooth execution. Additionally, promote employee morale through effective engagement and support initiatives.
  • Generating and oversight of purchase requisition and purchase orders in company purchasing portal.
  • Ensure the ordering and maintenance of all facility consumables inventory as required. This task is crucial for the smooth operation of our facilities and to prevent any disruptions in our services.
  • Directly responsible for repairs, adjustments and ongoing maintenance of facility, including plumbing, HVAC, painting, office fixture maintenance and installation etc.
  • Evaluate maintenance request for repairs from stakeholders, communicate necessary updates in a timely manner.
  • Implement weekly and monthly maintenance logs and ensure thorough record-keeping of all assigned tasks.
  • Maintain all 3rd party facility maintenance contracts, this includes local jurisdiction regulatory inspections with our purchasing departments support along with the continual monitoring of the work being executed.
  • Strong communication skills to work with external vendors coordinating contracted work four our facilities
  • Coordinate with various departments to support their facility needs and ensure smooth operations. This involves regular communication and collaboration with department heads to identify and address any facility-related issues promptly.
  • Contribute and maintain our compliance with corporate sustainability & decarbonization initiatives
  • Maintain all environmental waste documentation & other local regulatory jurisdiction requirements and permits
  • Support our regional IM team in handling local request to maintain our stakeholder infrastructure.
  • All other duties as this position evolves and we service our facility & stakeholders.

 

The below will enable you to succeed in this role:

  • Previous experience maintaining corporate office facilities.
  • Technically skilled to properly assess maintenance requests.
  • Fluent in English. Proficiency in a second language is an advantage.
  • Self-starter with ability to work independently.
  • Systematic and organized way of working.
  • Ability to work in a multicultural environment.
  • Physically able to perform the duties of this job.

For applicants that reside in British Columbia (BC), the annual salary wage range is 55k CAD - 72k CAD.
The starting salary for this position would be determined with consideration of the successful candidate’s relevant education, individual skill set, level of experience applicable to the role they are being offered and consideration of internal equity.
