Executive Assistant, SLS Japan

We are looking for Executive Assistant, Shaft Line Solutions Japan in Japan. This is a permanent opportunity and its location is Toyama, Japan.

What will you be doing:

As Executive Assistant, Shaft Line Solutions Japan, your work will focus on these responsibilities:

  • Performs administrative duties for Director, SLS Japan. Responsibilities may include making travel and meeting arrangements, preparing reports and presentation materials, screening calls and posts, communication and supporting between management and staff, and customer relations.
  • Performs a variety of professional activities supporting own organization.
  • Ensure the completeness of the routine and daily work of own area.
  • Executes all needed actions for local implementation of Wartsila’s processes according to Wartsila business targets within the area of responsibility.
  • Assists superiors to coordinate and administer a variety of programmes and activities.

 

Day-to-day activities:

  • Support Director, SLS JP in day-to-day activities. Meetings scheduling and facilitation, email management, Reporting and General Administration in Toyama factory.
  • Scheduling for business travelers from overseas, collecting itinerary information
  • Business Visa application support and Invitation Letter preparation
  • Reception, post and courier management, etc.
  • Key user and trainer for Concur expense system
  • Post news on internal company website
  • Manage SLS JP Organisation chart.

 

To be successful in this role, we expect you to have:

 

  • Requires PC skills and intranet key user skills. Also calls for flexibility, excellent interpersonal skills, project coordination, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Highly focused and results-oriented in supporting complex and deadline-driven operations. To identify goals and priorities and resolve issues in initial stages.
  • Native level Japanese language skills and Business level English language skills
